In a competitive rental market, making a great first impression is everything. When a desirable property becomes available, property managers often receive dozens of applications. So, how do you make yours stand out from the crowd? It all comes down to being prepared, professional, and personable.
This guide provides simple, practical tips to help you create an application that property managers and landlords will notice for all the right reasons.
1. Be prepared before you even view the property
The single best thing you can do is have all your paperwork and information ready to go before you attend a viewing. This shows you are organised, serious, and ready to move. When the property manager sends you the application link, you’ll be able to submit it immediately.
Your application toolkit should include digital copies of:
- Photo identification: A clear copy of your driver’s licence or passport for every adult who will be living in the property.
- Proof of income: Your last two or three payslips, or if you are self-employed, a summary of recent income from your accountant. This gives the landlord confidence that you can comfortably afford the rent.
- Written references: Having pre-written references from previous landlords or employers is a huge advantage. Ask them to comment on your reliability, communication, and how well you cared for your previous property.
- Visa information (if applicable): If you are on a visa, include a copy to show you have the right to reside in New Zealand for the tenancy period.
2. Write a short and friendly cover letter
A cover letter is your chance to be more than just a name on a form. It adds a human touch and helps you build a connection with the property manager. It doesn’t need to be long—just a few simple paragraphs is perfect.
In your cover letter, briefly introduce:
- Who you are: A brief introduction of everyone who will be living in the home.
- Why you like the property: Mention something specific you liked about the home. Was it the sunny living room, the garden for the kids, or the location close to work? This shows you’ve paid attention.
- Why you would be a great tenant: Highlight your strengths. Are you quiet, responsible, and do you have a great track record of paying rent on time?
3. Make a great impression at the viewing
The viewing is your first in-person interaction with the property manager, and it’s an opportunity to show that you would be a reliable and respectful tenant.
- Be on time: Punctuality shows respect for the property manager’s time.
- Be polite and professional: Introduce yourself, be friendly, and ask thoughtful questions about the property.
- Look presentable: You don’t need to wear a suit, but dressing tidily shows you are taking the process seriously.
- Be honest: If you have pets, be upfront about it. It’s much better to have an honest conversation from the start.
4. Provide excellent, contactable references
Good references are one of the most important parts of your application. The property manager will almost certainly call them, so make sure you choose people who can speak positively about you as a tenant or employee.
- Choose the right people: Your most recent landlord is the best option. If you don’t have a rental history, a current or former employer is a great alternative. Avoid using family members or friends as your primary references.
- Give them a heads-up: Always ask your referees for permission before you list them, and let them know to expect a call. This ensures they are prepared to answer and won’t be caught by surprise.
